A call for papers looks manageable until the submissions land. Four hundred abstracts across eleven tracks, each needing two peer reviewers who are not co-authors, not from the same institution, and not already holding six other papers. The committee starts inside the submission platform and finishes inside a spreadsheet, because the platform tracked the files but never tracked the decisions.

Then come the last three weeks. Reviewers who never confirmed. Scores returned on two different scales because two chairs read the rubric differently. Authors emailing the coordinator directly because a notification never arrived. Revisions agreed over email and reconciled by hand at midnight. Single-blind, double-blind, or multi-round, with scoring criteria the committee defines. Reviewers are matched by track and knowledge area, with conflict-of-interest checks applied automatically. Progress, pending reviews, and disagreement between reviewers stay visible to the chairs throughout.

Decision and Programme

Acceptances, rejections, and requests for revision go out from the same record that holds the review history. What the committee accepts becomes the sessions, tracks, and programme of the event, without anyone re-typing titles and author names into a spreadsheet.

Publication and Credit

Accepted work is published as open-access proceedings with OAI-PMH metadata and ORCID authorship. When your committee contracts DOI registration for the edition, every accepted paper receives a Crossref DOI, deposited by Galoá as a Crossref Sponsoring Member since 2015.

The accepted work is compiled into a book of abstracts, a snapshot of a weekend, posted as a single PDF and after that effectively gone: no metadata for an indexing service to collect, no persistent identifier, nothing an author can cite in a grant application, nothing a peer reviewer can show as evidence of the work they did.

Galoá publishes it on proceedings.science, an open-access repository, and exposes its metadata over OAI-PMH so indexing services and institutional harvesters collect it at the source instead of scraping a PDF.
